– Prior to participating with Courageous Travels, it is review all policies. They include important details about deposits, cancellations, credits, and weather.
– A current traveler application, medication list, and physical are required for all travelers. Pre-packaged medication (including 2 extra days’ dosage) is required to be sent to Camp at least 2 weeks prior to departure of selected trip. Application and physical are required to be submitted within two weeks of registration confirmation, along with the trip deposit.
– All travelers must submit a nonrefundable/nontransferable deposit within two weeks of receiving registration confirmation from the Travel Team, along with the application and physical. The deposits are as follows: $50 for day trips, $100 for weekends, $300 for week-longs and $1,000 for the annual “Big Trip.” Failure to submit the deposit within two weeks may result in the traveler losing their spot on the trip.
– Balances for driving trips are due 30 days prior to departure. Balances for flying, boat or train trips are due 120 days prior to departure.
– There are no monetary refunds. Upon approval by the Travel Team, a Travel Credit may be offered, which must be used toward future trips with Courageous Travels.
– If a traveler cancels their trip prior to 120 days of departure (flying, boat, or train trips) and 60 days of departure (driving trips), you can apply the whole amount that has been paid (excluding the deposit) to a future trip using a Travel Credit.
– No Travel Credit will be issued for cancellations (for any reason) within 120 days prior (flying, boat, or train trips) and within 60 days (driving trips) to the trip departure date. Under special circumstances, determined on an individual basis by the Travel Team, a Travel Credit may be issued for a prorated amount for future trips for that specific traveler. Proper documentation must be provided to the Travel Team within 1 week of cancellation. Examples of such circumstances may include traveler hospitalization or diagnosis of a serious illness. Day trips are excluded from this policy.
– No Travel Credit will be issued for travelers who fail to arrive at check-in on the departure date.
The Travel Team has the right to cancel a trip due to lack of participation and offer the traveler a Travel Credit for future use.
– There is a $20 charge, per traveler, for each additional half hour beyond the traveler pick up time.
– Prices, dates, and itinerary details (ex. hotel, activities, routes, etc.) are subject to change due to unforeseen circumstances or traveler needs. Every effort will be made to maintain current details as listed. Courageous Travels reserves the right to make changes in the trips when necessary. If for some reason, changes in price or dates are necessary, advance notice will be given as seen fit by the Travel Team. A travel credit may be issued to the traveler if he/she cannot attend a trip due to a change in the date of the trip (in the event that the date change is 30 days prior to departure). If the date changes due to a third party and it is less than 30 days prior to departure, a travel credit will not be issued to the traveler if he/she cannot attend a trip due to a change in the date of the trip. A travel credit will not be issued for change of prices, hotels, activities, and routes.
– Courageous Travels does not provide travelers, volunteers, or staff with traveler’s insurance. Therefore, if you would like to purchase individual traveler’s insurance for your trip, you must contact your current insurance broker or seek a reputable insurer online.
– If a traveler cannot continue with a trip, the traveler’s guardian or facility will be contacted. Arrangements will be made to send the traveler home by whatever means of transportation is deemed appropriate for the circumstance. This may mean that a traveler will need to be picked up or be sent home by plane or bus and a Courageous Travels staff/volunteer would accompany that traveler, at the traveler’s expense. Examples of reasons a traveler may need to be sent home include, but are not limited to, illness, injury, behavior not conducive to the harmony of the group, and other extenuating circumstances.
– In order for a guardian or facility to remove a registered traveler from a trip, they must contact the Travel Team directly. Once a guardian or facility has removed a traveler from a trip, a member of the Travel Team will provide confirmation that the traveler has been removed. If the confirmation has not been received from the Travel Team, the traveler has not been successfully removed from the trip.
– Courageous Travels will operate in any weather (rain, hail, sleet, snow, etc.) except when the weather is deemed unsafe. In order to properly evaluate the anticipated weather conditions, Courageous Travels makes weather-based decisions according to the 3-day forecast prior to departure.
– Cancellations and rescheduling due to unsafe weather are made at the discretion of the Travel Team. Courageous Travels reserves the right to modify the itinerary for the safety of the travelers and staff.
– If a trip is cancelled by the Travel Team before departure due to unsafe weather, a prorated amount may be applied to a future trip through a Travel Credit.
– If a third-party vendor is involved in our travels and cancels an activity or event due to unsafe weather or other unforeseen circumstances, we must adhere to their cancellation policy. According to the third-party vendor’s policy, a credit may be issued for future use with Courageous Travels.
– On select day trips, the traveler will be responsible for one meal. This will be determined on a trip by trip basis and will be indicated on the itinerary.
– Alcohol, drug, and tobacco products are strictly prohibited on all Courageous Travels trips.
– Requirements for individuals who participate on trips:
– At the Travel Team’s discretion, new travelers may be asked to attend a day trip, weekend trip, or spend a week at Camp Courageous prior to traveling on a week-long trip.
– Able to travel on a 15 passenger bus (able to get in and out of the vehicle, ride for long distances, etc.) (Exception: Wheeling trips)
– Must be able to stay with the whole group
– Must not have major behaviors (physically aggressive, self abusive, uncontrollable screaming, etc)
– Must have appropriate social skills
– Able to attend sporting and cultural events in large stadiums or venues
– Share a 4-person room with two other travelers and one staff member
– A government issued photo ID is required for all trips
– Passport booklets required for all international trips
